What is Capital One Travel for Business and how does the opt-in work?
Capital One Travel for Business is a business-grade travel management platform for business account holders and their employees. When you opt in to Capital One Travel for Business, this card account will gain access to business travel capabilities and will no longer have access to Capital One Travel, our consumer-grade travel booking site.
Do I need to pay a fee to book travel?
No, your eligible Capital One Business card gives you complimentary access to Capital One Travel for Business—there are no additional fees to access travel management or book travel.
What are travel policies?
Travel policies allow you to manage your organization's spend by requiring travelers to book travel within certain price bands and/or fare classes. If a traveler books a flight, hotel or rental car that doesn't meet policy requirements, company admins can cancel the booking for at least 24 hours after the out-of-policy booking is made.
How do I set travel policies?
First, you need to select the tier for which you would like to set policies. We offer 2 policy tiers: associate and executive. Each member in your organization will be assigned 1 of these policy tiers and is subject to the unique limitations of that tier. By default, all users are assigned the associate policy tier. You can set maximum flight prices and fare classes (one way vs. round trip, short vs. long flight), hotel price per night and star rating, and rental car price per day limits for primaries and admins.
Can my travelers book out-of-policy reservations?
Yes, your travelers can shop for out-of-policy trips, but company admins will be notified and can cancel the trip for at least 24 hours after the booking is made. Admin cancellation window will vary by booking terms and policies, and it is recommended that they cancel within 24 hours. Travelers will be automatically notified of any cancellations for out-of-policy bookings.
As a traveler, why might I see different approval processes?
The admin may have changed the approval process or policy limits in between sessions. Different policy tiers can have different requirements, so it's possible that you’re booking a travel arrangement that falls under a different policy tier or policy limit than your previous booking.
